When public accounting / professional service firm leaders wake up and realize the points below firms can experience peace and success that people in the industry never thought was possible:1. Treat people the way you want to be treated - Golden Rule 😳2. Do not tolerate bad people - internally and/or externally (clients, vendors, etc).3. Intentional Client Hygiene - relationships expire for many different reasons and that’s OK!! 4. Hours DO NOT equal productivity. 5. Automate, automate, automate. 6. Target work intentionally aka what you enjoy / what you’re good at doing. 7. Be different compared to historical billing practices - the whole world has moved to subscription based models. "Preparing the invoices for clients is a hell of an effort—can't bear it anymore!... A less manual method of invoicing would be a game-changer," that's what we heard during the discovery call. 😓To give you a bit of context so you can better understand the misery, William was running a renovation services business serving departmental stores.Their project required multiple invoices that they sent to their clients periodically.So the way they were doing the invoicing and time tracking was: > The time was logged in separate sheets for each of their clients, > The sheets were stored in separate folders on Google Drive. On every billing date, they had to manually go through the sheets to - Extract the billable hours, - Enter those hours into an invoice template, - Convert the invoice into a PDF, and then email the invoice to the client.Sounds like too much effort, right? But that's not all—they were working on multiple projects with different billing dates, which made the situation worse.To reduce the effort and make the process efficient, we found automation to be the best solution. We used Zapier to parse data from monday.com to the client's sheet. Zaps, combined with custom Python Coding, were used to automate the bits that were unique to their business, such as; + Adding the billable hours into the invoice template, + Converting the invoice into a PDF file, + Storing the file in the client folder, And lastly, remove the billed hours from the client sheet.This freed William and his team from a daunting and never-ending struggle with manual invoicing.Key Takeaway 💡: Keep looking for ways to execute more with less so your business grows. One way or another, you can automate the invoicing process for your business.
